Ohavi Zedek Synagogue is seeking an administrative assistant to support the clergy and office needs.
Primarily responsible for providing daily and long-term administrative support to the Rabbi and Cantor. Other responsibilities include supporting office administrative needs.
20 hours per week. Tuesday – Friday. $18 – $20/hour
RESPONSIBILITIES
Clergy Administrative Assistant Responsibilities:
- Manage daily administrative tasks for Rabbi and Cantor
- Organize and schedule appointments for Rabbi and Cantor
- Act as liaison to other staff members, Board of Directors, and Congregants
- Schedule meetings and take detailed minutes
- Maintain filing and records management systems, both computer and non-computer based
- Coordinate with other synagogue staff to assure given tasks are complete
- Respond in a timely fashion to clergy, staff, congregants and others
Pastoral Care/Support for Congregants:
- Update the online database to coordinate, schedule, and track pastoral visits/calls
- Coordinate with lay Pastoral Care Committee
Calendaring:
- Support optimal use of clergy time and resources
- Manage the calendar of the Rabbi and Cantor and arrange meetings
- Implement jointly determined prioritization standards for screening/making clergy appointments, calls, and correspondence
- Sync synagogue calendar with Rabbi and Cantor calendar
- Post all calendar notifications in a timely manner and ensure that calendar event communications are accurate, complete, and easily understood
Front Office Support:
- Welcome visitors
- Answer and direct phone calls
- Support the Operations Manager and Engagement Coordinator when time is available
QUALIFICATIONS:
- Administrative assistant or reception experience is required
- Computer fluency (Microsoft Office, Google applications, Database/Customer Management Software)
- Highly organized, reliable, flexible; Able to be successful in a busy environment
- Works well with supervisors and co-workers and has ability to act without supervision when required
- Strong written and verbal communication skills
- Tact and integrity due to the frequency of exposure to confidential information
- Strong interpersonal skills and temperament to represent the clergy
- Knowledge of Jewish lifecycle events as well as experience in a synagogue or Jewish organization is a plus
